Position Advertisement – Operations Coordinator

♦ Position based at the PASO Office in Port Vila.
♦ Open to Vanuatu citizens only.

About PASO:
The Pacific Aviation Safety Office (PASO) is an international organization dedicated to improving aviation safety and
security oversight across the Pacific region. PASO supports Member States in meeting their obligations under the
International Civil Aviation Organization (ICAO)standards and Recommended Practices, asrequired by the Convention
on International Civil Aviation also known as the Chicago Convention.
PASO Member States include Cook Islands, Kiribati, Nauru, Niue, Papua New Guinea, Samoa, Solomon Islands, Tonga,
Tuvalu, and Vanuatu. Australia, Fiji, and New Zealand are Associate Members, with all members represented on the
PASO Council.

The Position:
The Operation Coordinator supports the Workplan Implementation Manager by coordinating Member States’
workplans and ensuring the timely delivery of regulatory activities. The role provides operational, technical, and
administrative support to facilitate effective workplan implementation, stakeholder engagement, and service delivery
across the region. As a key member of the Regulatory Oversight Support Services (ROSS) Team, the Operations Coordinator contributes
to PASO’s success through high-quality service delivery, strong stakeholder relationships, and effective teamwork.

Key Responsibilities:
➢ Provide operational and administrative support for the implementation of Member States’ workplans.
➢ Coordinate the timely deployment and engagement of technical personnel and stakeholders.
➢ Monitor and track regulatory activities to ensure delivery against agreed workplans and timelines.
➢ Maintain effective working relationships with Member States and key stakeholders.
➢ Manage records, databases, and information systems to support regulatory oversight activities.
➢ Prepare reports, correspondence, and other documentation as required.

Essential Selection Criteria:
The successful applicant will demonstrate:
• Strong proficiency in Microsoft Office applications, including Word, Excel and PowerPoint
• Experience using databases and information management systems
• Knowledge and experience within the aviation sector
• Understanding of current trends and emerging issues affecting aviation, both within the Pacific region and
internationally
• Experience working in a customer-focused or commercial environment
• Strong attention to detail and organisational skills
• Ability to produce high-quality reports and analysis for management
• Strong interpersonal and communication skills with the ability to build cooperative working relationships
• High levels of motivation, initiative, and enthusiasm
• Proven ability to handle confidential information with discretion
• Ability to work effectively as part of a team and contribute to shared goals
• Experience providing administrative support to a senior manager

Desirable:
• A current and valid driver’s license is desirable but not essential

The Package:
The position is classified as an operational support role with a starting annual base salary of VUV 1,610,000.
